The Challenge

United FinTech is a global platform that acquires and scales capital markets software companies. As Senior Revenue Operations Manager, Rugile Pudzevelyte is responsible for driving alignment, efficiency, and transparency across their go-to-market operations, spanning sales and other commercial teams.

With a distributed GTM org and complex customer journeys, she needed a way to track all sales activity in Salesforce, pre- and post-opportunity.

One of the most pressing pain points: sales activity data wasn’t complete or usable. The team initially tried solving this using Einstein Activity Capture (EAC), but quickly ran into issues.

“We looked into Einstein for a really long time. It was impossible to properly use it, and there were small things that continuously broke our setup or were unreliable.”

Before Weflow, the team relied on manual Salesforce plugins and add-ons for activity logging. It was tedious for salespeople and led to frequent gaps, especially for meetings.

“We had a lot of missing activities. Salespeople were manually logging with Outlook plugins, and things slipped through.”

Sales reps were spending too much time logging data, and Rugile had a clear hypothesis: higher-quality, more consistent activity would shorten sales cycles and improve win rates. But without full visibility into emails and meetings, she couldn’t prove it - or optimize around it.

“We saw that deals with more activities tended to close faster. But we couldn’t prove it without a full view of the activity data.”

The challenge wasn’t just about sales productivity - it was also about enabling data-driven decision making. During a recent investment round, the team needed to clearly connect top-line KPIs like revenue and pipeline to underlying sales behavior.

“We wanted salespeople to have a clear overview of what’s happening in other areas - not just their own pipeline. Especially as we push for more cross-sells, that visibility is key.”

Getting these insights was manual and time-consuming, often requiring team members to piece together insights from different calendars or CRM records.

The Solution

United FinTech evaluated multiple tools, including Cirrus Insight and MatchMyEmail, but most lacked the level of automation and flexibility needed. 

Many still relied on semi-automated workflows, which brought back the same manual friction they were trying to avoid.

“None of the other tools gave us a full solution like Weflow. Most still relied on Outlook plugins for semi-automation - exactly what we were trying to move away from.”

Weflow stood out for its deep Salesforce integration, automated activity capture, and its ability to work seamlessly with Outlook.

Smart logging rules for full control

After quickly setting up the integration, UnitedFintech customized its setup centrally to capture only the most relevant activities. 

Among other granular settings, they decided to:

  • Exclude internal emails from being logged
  • Filter out internal meetings
  • Define logging rules by object type (Accounts, Opportunities, Contacts) to reduce clutter

This flexibility meant that Weflow could be shaped to fit UnitedFintech’s exact needs, rather than forcing the team to adapt to the tool.

A setup for maximum data accuracy and efficiency

The team chose a hybrid approach: most reps benefit from fully automated background email and meeting capture, while also having access to an Outlook Add-In for greater control and visibility.

This gives the team the best of both worlds:

  • Reps stay hands-off by default - relevant emails and meetings are captured and synced to Salesforce automatically.
  • Reps can use Weflow’s Outlook Add-In to see how an activity will be mapped - and adjust it if needed.

This optional manual control is especially useful for complex opportunities, like accounts with multiple open deals.
