Comparison

Weflow vs Salesforce Einstein Activity Capture

Weflow captures emails, meetings, and contacts into native Salesforce Task, Event, and EmailMessage objects; permanently stored, reportable, and automatable. In comparison, EAC syncs email and calendar activity into Sales Cloud but stores captured data outside native Salesforce objects, making it invisible to reports, flows, and third-party tools.

Choose Weflow for activity capture that writes real Salesforce records at $19/user/month.

Overview

What makes Weflow and Salesforce Einstein Activity Capture different

Weflow

Weflow, a Salesforce-native revenue AI platform, keeps Salesforce accurate with Activity Capture mapped to Accounts, Contacts, Leads, Opportunities, Custom Objects.

Salesforce Einstein Activity Capture

EAC is an email, calendar, and contact sync utility bundled into Sales Cloud, not a standalone product, with zero conversation intelligence, pipeline management, deal inspection, or forecasting.

Weflow Advantages

Where Weflow wins

Activity-to-record mapping with governance controls

Weflow maps activities to Accounts, Contacts, Leads, Opportunities, Custom Objects, and Cases, with thread-level persistence that maintains correct record association even when email addresses change.

  • Supports multiple email addresses within a single Salesforce record, so activities match correctly when contacts use aliases or secondary addresses
  • Users inspect, override, unlog, and re-log activity mapping via Chrome Extension, Gmail Extension, or Outlook Add-In, reps fix misattributions without filing an admin ticket
  • Thread-level mapping persistence: once an email thread is associated with a record, subsequent replies maintain that association automatically
  • Admins configure mapping rules centrally; reps work within guardrails instead of guessing which record to log against

When this matters: Multi-opportunity accounts where a single misattributed email thread corrupts pipeline reporting and Opportunity-level activity metrics.

"I want to relate activities to the right contacts and opportunities reliably. Our solution is not doing that at this point." — Alex Knechtl, Director of Revenue Operations, Blockaid (before switching to Weflow) — Weflow

Contact auto-creation and Opportunity Contact Role management

Weflow auto-creates missing Contacts when external participants appear in email threads or calendar invites, and auto-sets Opportunity Contact Roles—closing the stakeholder coverage gap that manual entry never solves.

  • Admin-controlled creation rules: restrict to existing Accounts only, set participant thresholds, exclude domains (e.g., personal email providers), and define orphan-record handling
  • Opportunity Contact Roles populate automatically as new contacts engage on deal-related threads
  • Surfaces missing email addresses related to an Opportunity, flagging gaps in stakeholder coverage before they become forecast surprises

When this matters: MEDDIC or MEDDPICC orgs where incomplete Contact Roles mean the Champion, Economic Buyer, or Paper Process owner isn't tracked on the Opportunity record.

Chrome extension and Outlook Add-In

Weflow's Chrome Extension (Gmail), Gmail Extension, and Outlook Add-In give reps a manual override layer on top of server-side capture, so you can inspect, correct, and enrich activity mapping without opening Salesforce or filing an admin ticket.

  • When viewing an email in Gmail or Outlook, reps see which Salesforce records (Account, Contact, Opportunity) the activity mapped to—and change the mapping with one click
  • Exclude a specific email or meeting from Salesforce, or re-log a previously excluded thread. Weflow remembers the decision and applies it to future messages in that thread
  • Create Contacts and Leads from email. A new participant enters a thread or a meeting invite? Create the Contact directly from the extension without switching to Salesforce.
  • AI-generated follow-up emails draft next steps from call content

When this matters: Teams running a defined sales methodology where qualification data should come from what was actually said on the call—not what the rep remembered to type afterward.

Deal intelligence and forecasting from trusted activity data

Weflow's spreadsheet-like pipeline management with inline and bulk editing lets reps update deals without navigating Salesforce record pages, and feeds clean data into forecasting.

  • AI deal health scoring (0–100) with 50+ configurable deal signals and warnings surfaces risk before it hits the forecast
  • Pipeline waterfall, pacing, and coverage analytics give leaders real-time pipeline visibility without building custom Salesforce reports
  • AI forecast prediction with automated roll-ups and deal-by-deal submission replaces spreadsheet-based forecasting
  • Forecasting accuracy improves structurally because the underlying activity data (emails, meetings, contacts) is complete and natively stored, not approximated from partial sync

When this matters: Revenue leaders who've lost confidence in their forecast because the activity data underneath it is incomplete, unreportable, or both.

"Using Weflow, we increased our win rate by 12% and see a forecast accuracy of 92%. Plus, we now can trust our Salesforce data." — Chris Mackinnon, VP Revenue Operations, Zeotap — Weflow

Competitor Strength

Where Salesforce Einstein Activity Capture wins

Zero incremental cost for passive email and calendar visibility

EAC is included with every Sales Cloud edition. Teams that only need to see email threads on Contact and Lead records, with no reporting, automation, or analytics requirements, get this at no additional software spend.

  • Available to any Sales Cloud licensee regardless of team size, with no minimum user count
  • No separate security review, procurement approval, or managed package installation required
  • Activation is an admin toggle inside an existing Salesforce org—no vendor evaluation cycle

When this matters: Small teams (under 10 reps) where the primary need is "can I see the last email on this Contact record?" and there's no RevOps function building reports or automations on activity data.

"If your company's tech culture is extreme m365/exchange and azure centred then it's great. Slowly peeling people away from outlook and teams based processes is a pain, EAC and especially when coupled with creative flows is a blessing. Our budget is limited and I can't ask for a better third party tool for every core feature I want to be perfect. EAC is a blessing for us." — Reddit, r/salesforce user

FedRAMP compliance inherited from Salesforce

EAC inherits Salesforce's FedRAMP authorization, which eliminates a separate certification review for organizations with federal compliance requirements.

  • No additional vendor security assessment needed—EAC operates within the Salesforce trust boundary
  • Compliance documentation is already on file if your org has completed Salesforce's FedRAMP review

When this matters: Government contractors and federal-adjacent organizations where every third-party tool requires a separate FedRAMP or equivalent authorization.

Native EmailMessage storage is improving

Salesforce's Summer '25 release introduced native EmailMessage storage for EAC—captured emails can become reportable Salesforce records usable in Flows and accessible via API.

  • Addresses the most common EAC complaint: activities that exist but can't be reported on or automated against
  • Rollout is ongoing; availability varies by org—check your instance's release status
  • When fully available, this narrows the gap on EAC's biggest structural limitation

When this matters: Orgs already on EAC that are willing to wait for full rollout and whose primary pain point is reportability—not mapping governance, contact creation, conversation intelligence, or forecasting.

Decision Guide

Choose based on your situation

Your situation Better fit Why
RevOps team needs activity data in Salesforce reports, dashboards, Flows, or downstream tools (ABM platforms, BI, data warehouses) Weflow All activities write into native Task, Event, and EmailMessage objects, visible to any tool that reads Salesforce, no dependency on EAC's ongoing Summer '25 rollout.
MEDDIC/MEDDPICC org where Contact auto-creation and Opportunity Contact Role coverage are enforced Weflow Weflow auto-creates Contacts and populates OCRs with admin-controlled rules; EAC does neither.
Need conversation intelligence, deal inspection, or AI forecasting without buying Gong + Clari separately Weflow Weflow bundles CI, pipeline management, and forecasting from $49–$79/user/month; EAC has no CI or forecasting capability.
European data residency required, or GDPR consent flows need configurable opt-out with immediate deletion Weflow Frankfurt data center, configurable consent with immediate deletion on opt-out, zero AI data retention—EAC follows platform-level Salesforce compliance with no EAC-specific consent controls.
Only need is passive email visibility on Contact/Lead records—no reporting, automation, or analytics requirements and no budget for additional tooling EAC Included with Sales Cloud at no incremental cost; does this one job without a procurement cycle.
FedRAMP or equivalent federal compliance is a hard gate EAC Inherits Salesforce's FedRAMP authorization; Weflow isn't FedRAMP certified.
Already own Gong or Chorus for CI but need better activity capture than EAC Weflow $19/user/month standalone module replaces only EAC's capture layer—pairs with your existing CI tool without overlap.

What Salesforce Einstein Activity Capture users say

[str]Strength[/str]

"Email syncing to leads, contacts, accounts and opportunities does work well with zero user effort and you can see threaded conversations." — Reddit, r/salesforce user

[lim]Limitations[/lim]

"We turn on the email sync for clients but have to explain that you can't report on them at all nor trigger automation from the synced emails because they aren't actually records, it's just a visualization of the activity. Never lands well." — Reddit, r/salesforce user

"Also frustrating is the fact that activities can't be read by platforms using native CRM integrations. Our ABM platform reports that the Sales team are sitting on their backsides as there's no sales activity records to pull in." — Reddit, r/salesforce user

"It's a really, really, really bad product for all but the simplest of use cases. Most features can be bent to your will at least a little bit in Salesforce, if not a lot. EAC is the most rigid solution I've encountered, and it's very poorly thought out. I used it heavily for about 18 months for a startup and will never use it again." — Reddit, r/salesforce user

FAQ

Frequently asked questions

What happens to my existing EAC-captured activities if I switch to Weflow?

There's no supported migration path that converts legacy EAC activities—historically stored in AWS outside native Salesforce objects—into native Salesforce records. Whether that historical data remains visible in your org depends on your current EAC storage model and Summer '25 rollout status. Weflow captures forward from activation and does not retroactively convert EAC data. Run both tools in parallel during transition to avoid activity gaps while Weflow builds a complete native dataset going forward.

Can Weflow backfill historical activities, or does capture only start from the day I turn it on?

Weflow can backfill past emails and meetings up to 24 months as an add-on, processed in batches to respect Salesforce API limits. This means you don't start from zero on day one—reps and managers see historical activity context on Accounts and Opportunities immediately. EAC's data retention varies by edition; lower tiers may retain as little as six months.

Do my reps need to use the Weflow app every day for activity capture to work?

No. Activity capture runs server-side in the background—reps don't need to open Weflow or change how they use Gmail, Outlook, or their calendar. Chrome, Gmail, and Outlook extensions are optional and exist for manual overrides like re-mapping an email to a different Opportunity or unlogging a specific thread. Capture coverage doesn't depend on rep behavior.

What does Weflow actually install in my Salesforce org?

A lightweight managed package: one custom object (for conversation recording data) and three custom fields. All captured activities write to standard Salesforce objects—Task, Event, EmailMessage—not a proprietary data layer or shadow database. Uninstalling the managed package removes only the conversation object; every activity record Weflow created stays in your org as a native Salesforce record.

Can I start with Activity Capture only and add Conversation Intelligence or Forecasting later?

Yes. Modules activate on the same instance with no re-implementation. Start at $19/user/month for Activity Capture, add CI at $49/user/month bundled, or upgrade to the full platform at $79/user/month. Conversation Intelligence and full platform tiers include unlimited view-only licenses—so managers, enablement, and executives access recordings and dashboards without consuming paid seats.

What happens if the Salesforce integration user disconnects?

Weflow monitors connectivity and notifies admins when a disconnection occurs. Weflow recommends using a Salesforce API Only Integration user for persistent, stable connectivity—this avoids the per-rep OAuth disconnection issues common with EAC, where individual reps silently lose sync and no one notices until activity data is already missing from reports.

How does Weflow handle GDPR consent and data deletion for recorded calls?

Weflow offers configurable consent flows for call recording. If a participant opts out, their data is permanently deleted immediately—not queued for batch processing. Weflow documents zero AI data retention, and European customers can use Frankfurt data center infrastructure. EAC follows Salesforce platform-level GDPR compliance but has no EAC-specific consent flow controls or data residency options beyond Salesforce defaults.

Are there situations where I should stick with EAC instead of switching to Weflow?

Yes. If you have fewer than 10 reps, EAC is the only option—Weflow has a 10-user minimum. If you need only passive email visibility on Contact and Lead records with no reporting or automation requirements, EAC does that at no incremental cost. If FedRAMP compliance is a hard gate, EAC inherits Salesforce's authorization; Weflow isn't FedRAMP certified. And if there's genuinely no budget for additional tooling, EAC is already included with every Sales Cloud edition.
