Weflow vs Cirrus Insight

Weflow captures every email, meeting, and call into native Salesforce Task, Event, and EmailMessage objects, then extracts methodology fields from conversations, scores deal health with AI signals, and runs pipeline management and forecasting from that governed data.

Cirrus Insight is an inbox-first productivity toolkit for Salesforce sidebar access, scheduling, email blasts, and buyer signals, but has zero pipeline management, deal intelligence, or forecasting at any price.

Choose Weflow at $19–$79/user/month for complete Salesforce activity capture plus revenue intelligence; choose Cirrus Insight when your primary need is inbox-native CRM access, scheduling pages, and email engagement tracking.

Overview

What makes Weflow and Cirrus Insight different

Weflow

Weflow, gives RevOps teams complete activity data in Salesforce they can report on, automate on, and forecast from - with AI that populates methodology fields, scores deal health, and tracks forecast accuracy over time.

Cirrus Insight

Cirrus Insight gives reps Salesforce access without leaving Gmail or Outlook, with scheduling pages that replace Calendly, engagement signals that show who opened what, and pre-meeting research delivered before every call.

Weflow Advantages

Where Weflow wins

Inbox controls that govern mapping without a full sidebar dependency

Weflow's Chrome Extension and Outlook Add-In let reps view mapped records, override mapping decisions, and log or exclude activities.

  • Chrome Extension: search, create, and update Salesforce records from anywhere in the browser; view which Account, Contact, and Opportunity an email or meeting is mapped to; manually remap or exclude
  • Outlook Add-In: same mapping visibility and override controls inside Outlook; adjust which Opportunity an email thread logs to without leaving the inbox
  • Thread-level persistence: mapping changes made via the extension apply across the entire email chain -- if an email is excluded, it stays excluded unless manually re-logged
  • Multi-opportunity suppression runs server-side: when multiple open Opportunities exist without an OCR match, Weflow withholds Opportunity logging rather than guessing, reps don't need to intervene
  • Extensions are optional:server-side capture runs automatically without them; reps who never open the extension still get full email and calendar capture

When this matters: You need reps to have mapping visibility and override control from their inbox, but you don't want capture reliability to depend on a sidebar loading correctly every time. Cirrus's Sidebar ($11/user/month) is a richer inbox CRM experience -- record editing, activity history, social lookup, worklist, but G2 reviewers consistently report loading failures and sync inconsistencies that break the workflow.

Automatic contact creation and Opportunity Contact Role management

Weflow auto-creates missing Contacts in Salesforce when emails are sent to external addresses not yet in the CRM.

  • Creates new Contact records populated with First Name, Last Name, Email, and Account association
  • Surfaces email addresses on Opportunities that aren't yet Salesforce Contacts and can auto-create and link them
  • Auto-sets Opportunity Contact Roles based on email and meeting participation
  • Admin controls govern what gets created: domain exclusions and participant thresholds prevent junk Contact records

When this matters: Your Opportunity Contact Role coverage is below 60% and your pipeline reviews depend on knowing who's actually in the deal.

Conversation intelligence with methodology-aligned field updates

Weflow's AI extracts structured data from conversations and writes it into Salesforce fields with governance that respects your schema.

  • AI Field Updates map to any Salesforce standard or custom field across 15+ field types (text, picklist, multi-select, number, currency, date, checkbox)
  • AI Coaching Scorecards with structured 1–5 ratings aligned to MEDDIC, SPICED, and BANT—conditional application by deal stage
  • Topics and Trackers with historical crawl: new trackers apply retroactively across past recordings
  • Clips and Playlists for enablement workflows built from key conversation moments
  • Flat per-seat pricing, no hourly transcription or coaching charges
  • Ask Weflow AI: query conversations and ask plain language questions on your data directly inside Weflow
  • Weflow API for data query

When this matters: You need methodology adherence tracked in Salesforce fields, not in a separate tool's database, and you can't budget $15/hr for transcription and $40/hr for coaching on top of seat costs.

Historical backfill for migration and gap recovery

Weflow back-syncs past emails and meetings into Salesforce to fill gaps from prior tool failures or migrations.

  • 3 months of historical email and meeting back-sync included at no extra cost
  • Up to 24 months available as an add-on
  • Writes backfilled data into native Salesforce Task, Event, and EmailMessage objects—same as live-captured activity

"Einstein frequently missed activities. Now, we trust the data. It's been a big mental lift for the team." — Leslie Phillips, Director of Operations, Advisa — Weflow customers page

When this matters: You're migrating off Cirrus Insight (or recovering from sync outages) and need historical activity data in Salesforce for trend reporting and deal reviews.

Competitor Strength

Where Cirrus Insight wins

Inbox-native Salesforce sidebar for CRM access without context-switching

Cirrus Insight embeds a full Salesforce data panel inside Gmail and Outlook so reps can view and edit CRM records without leaving their inbox.

  • Contact, Account, Case, and Opportunity data accessible and editable from a sidebar at $11/user/month
  • Purpose-built for reps who live in email and resist switching to a separate CRM tab
  • Reduces the friction of basic Salesforce data entry for inbox-first workflows

"Cirrus Insight has completely streamlined how I manage my sales pipeline. The seamless integration with Gmail and Salesforce means I never have to leave my inbox to update records, log calls, or track email opens." — Moayad S., Account Executive, Enterprise, 5/5 — G2

When this matters: Your reps spend 80%+ of their day in Gmail or Outlook and your primary adoption problem is getting them to touch Salesforce records at all.

Scheduling pages with lead routing and team availability

Cirrus Insight offers dedicated scheduling products with booking pages, team scheduling, and lead routing workflows.

  • Calendar Scheduling ($7/user/month): personal booking pages with calendar sync
  • Smart Scheduler ($20/user/month): lead routing, workflow groups, and availability matching across teams
  • Purpose-built scheduling stack that replaces Calendly or Chili Piper for basic use cases

When this matters: You need branded booking pages with lead routing and don't want to pay for a standalone scheduling tool alongside your activity capture platform.

Email blast, templates, and engagement signals

Cirrus Insight bundles outbound email productivity and per-email engagement tracking into dedicated modules.

  • Email Blast ($11/user/month): mass email, templates, list management, and schedule send
  • Buyer Signals ($12/user/month): tracks email opens, link clicks, and replies with granular per-email engagement data
  • Meeting AI ($13/user/month): automated prospect and company research delivered before calls without user-initiated queries

"I like the integration within Outlook, the insight into client trends — if they open emails, which links are clicked, and overall engagement tracking." — Emily R., Client Success Manager, Enterprise, 4.5/5 — G2

When this matters: Your outbound motion depends on email blasts with open/click tracking and you want pre-meeting research automated—without adding a separate sales engagement tool.

FAQ

Frequently asked questions

Can I trial Weflow in a Salesforce sandbox before touching production?

Yes. Weflow connects to sandbox environments that mirror your production org, so you can validate sync behavior, mapping rules, and field writeback without risking live data. Settings configured in sandbox don't carry over automatically, you'll replicate them for production go-live, which takes minutes once the configuration is proven.

How long does it take to get Weflow live, and who needs to be involved?

Technical setup takes 30–45 minutes with a Salesforce admin plus a Google Workspace or Microsoft/Entra admin. Full time-to-value is one to three weeks depending on business-logic configuration: mapping rules, team-level sync configs, domain exclusions, and compatibility mode settings for tools like Outreach or Salesloft.

If I switch from Cirrus Insight to Weflow, will I lose the activity data Cirrus already synced into Salesforce?

No. Cirrus Insight writes to native Salesforce objects, so that data stays in your org regardless of what happens to Cirrus. Weflow's included three-month back-sync then fills any historical gaps, and once Weflow syncs new activities, those also remain permanently in Salesforce even if you later stop using Weflow. As Weflow CEO Janis Zech has stated: "Nothing existing gets deleted during back-sync and once Weflow syncs activities they remain in the customer's system forever."

Does Weflow capture phone calls, SMS, or activities from non-Salesforce CRMs?

No. Weflow captures email (Gmail/Outlook), calendar, and video meetings (Zoom, Teams, Google Meet). It doesn't capture phone calls, SMS, or work with non-Salesforce CRMs like HubSpot or Dynamics. If phone logging is critical, you'd pair Weflow with a telephony tool that writes to Salesforce natively—Weflow's compatibility mode dedupes so activities aren't double-counted.

Do reps need to install anything for Weflow's activity capture to work?

No. Server-side capture runs automatically once an admin deploys via Google Workspace Marketplace or Microsoft Entra ID. The Outlook Add-In and Chrome Extension are optional control layers for manual mapping overrides—reps who never open them still get full email and calendar capture. As one Weflow sales engineer confirmed: "Everything would sync automatically without making the add-in available to users."

Can I buy just Weflow Activity Capture without Conversation Intelligence or Forecasting?

Yes. Weflow sells Activity Capture ($19/user/month), Conversation Intelligence ($39/user/month), and Deal Intelligence & Forecasting ($39/user/month) as separate products. Activity Capture alone doesn't include meeting recordings or transcripts—those require the Conversation Intelligence package. You can add products later without re-implementation.

How does Weflow handle GDPR consent for call recording, and what happens if someone opts out?

Weflow supports configurable consent flows including Microsoft Teams pre-meeting opt-in/opt-out prompts. If a participant opts out, their data is permanently and immediately deleted—no residual storage. Weflow maintains zero AI data retention, offers US and EU (Frankfurt) data center options, and signs BAAs for HIPAA-covered organizations. SSO/SAML via Okta and automated user provisioning are also supported.
